Storage and document archiving

Fitout-gap storage in sealed modules, plus barcoded archive cartons with chain of custody.

  • 7 m³ · Per storage module
  • Perth metro and interstate
Spacious library archive with organized compact shelving and storage units.

Why this is its own work package

Two things reliably sit between a lease ending and a fitout finishing: furniture you cannot throw away, and records you are legally required to keep. Both need somewhere to live, and both need to be findable.

Coastline stores office consignments in sealed 7 cubic metre modules at the Osborne Park depot, and holds archive cartons on a barcoded shelf location with a documented chain of custody from uplift to retrieval or destruction.

What is included

Everything below is in the base project price unless the proposal says otherwise.

  • Sealed storage modules

Consignments are loaded into 7 m³ timber modules at your site, sealed, and stored without further handling until delivery.

  • Barcoded archive cartons

Standard 400 x 320 x 260 mm archive cartons, barcoded, scanned to a shelf location and listed on your inventory.

  • Chain of custody records

Every uplift, movement, retrieval and destruction is logged with date, time and the person who authorised it.

  • Retrieval service

Next business day retrieval as standard, with a same-day option for Perth metro before 11:00 am.

  • Secure destruction

Cartons past their retention date are destroyed on authority and you receive a destruction certificate listing the barcodes.

  • Climate-considered areas

A separate area with steadier temperature and humidity for IT equipment, media and sensitive records.

How it runs

  1. Inventory and retention review

We list what is being stored and you mark the retention period for each record series.

  2. Uplift and barcode

Cartons are barcoded and scanned on uplift. Furniture is modularised and sealed.

  3. Scan to location

Everything is scanned to a shelf or module location at the depot and appears on your inventory.

  4. Storage and reporting

Monthly inventory statement showing what is held, where, and what is approaching its retention date.

  5. Retrieval

Request by barcode or description. Next business day delivery as standard.

  6. Return or destruction

Re-delivery to your new tenancy, or authorised secure destruction with a certificate.

What drives the price

Commercial work is quoted as a project price, so these are the variables a relocation manager measures on the site survey.

Module count
Priced per 7 m³ module per week. A 60-person office typically fills 9 to 14 modules.
Carton count
Archive cartons are priced per carton per month, with a minimum monthly charge.
Handling in and out
There is a handling charge in and out of storage separate from the weekly rate. It is quoted up front.
Retrieval frequency
Frequent retrieval is better served by keeping active files on site; storage suits records you rarely touch.
Retention obligations
Record series have different minimum retention periods. Your inventory should carry a destruction date for each.
Environment
IT equipment, media and sensitive records should sit in the climate-considered area rather than general storage.

All figures quoted across this site are sample placeholders for a demonstration website. A real proposal follows a site survey of both tenancies.

Questions we get asked first

Every question, grouped

There is no maximum. Storage is billed weekly for modules and monthly for archive cartons, and you can end it with a week's notice. Most fitout-gap storage runs 3 to 14 weeks.

Next business day is standard. For Perth metro, a request logged before 11:00 am can usually be delivered the same day for an urgent retrieval fee.

Retention periods vary by record type and by the law that applies to you, and some are as long as seven years or more. We are removalists, not your advisers, so we build the retention dates you give us into the inventory and prompt you before anything is destroyed.

Destruction happens only on written authority from a named person on your account. You receive a certificate listing every barcode destroyed, the date and the method.
