The constraint
- Twenty-two years of student and finance records in a basement store, uncatalogued, with no retention dates attached to anything.
- The new administration building was at practical completion minus three weeks when the term break started.
- Everything had to be done and dusted before students returned; there was no option to run over.
The outcome
- 1,190 cartons catalogued, of which 872 were retained and shelved to a scanned location.
- Administration staff working in the new building on the first day of term.
- The school now has a live inventory with destruction dates, which it did not have before the move.
How we ran it
Inventory before uplift
We barcoded and summarised every carton in the basement, then the school's records officer applied retention dates series by series before anything moved.
Storage as a planned stage, not a fallback
Eleven sealed modules held the furniture for six weeks at a quoted weekly rate, so the fitout delay never became a variation.
Authorised destruction
318 time-expired cartons were destroyed on written authority from the school's records officer, with a certificate listing every barcode.
What the client said
We went in with a basement full of unlabelled boxes and came out with an inventory. That was worth more than the move.
