640 m² of consulting suites, patients back in on Monday

Nine consulting rooms, a treatment room and 18 linear metres of patient records relocated over a weekend with a documented chain of custody.

Patient records could not simply be boxed and trolleyed. The practice needed a provable custody chain from the old file room to the new one.
Two analysers and a steriliser were under manufacturer warranty and could only be decommissioned by the vendor's technician.
The practice ran a full list on the Friday and a full list on the Monday, which left a hard 46-hour window.

Records under custody
Every carton was barcoded and sealed in the old file room, scanned by two staff, and reconciled against the inventory before the new file room was signed off.
Vendor coordination
We booked the manufacturer's technicians into the runsheet so decommissioning finished before our crew touched the equipment, and recommissioning started the moment it landed.
Room-by-room sequencing
Consulting rooms moved as complete units, so each room was emptied, transported and rebuilt before the next one was opened.

Every carton was scanned in front of our practice manager. That is the part other quotes did not even mention.
